Name will search on keyname in the same way that it always has and putting an * in the search box will still return all records. Toggle to the Key Words button to search on surname, forename, registration number, address including town, county and postcode, payroll number and NI number. If set up by your agency you will also be able to search on some questions and items specified in a function. A Filter has also been added to quickly identify if certain items are missing or not. When creating the document users will (depending on user settings) see two new options for Save to Compliance and Save to Documents. {{:save_to_documents_compdocs.png?200|}} Save to Compliance will open the Compliance Documents view allowing users to answer any questions connected to the document type they select. Save to Documents will allow the user to give the document a title and select a type then a copy will be saved to the candidate documents view. ==== Document picking up and sending - Packs or Individual ==== When a client requires you to send a document pack or a selection of documents to them for approval before making a placement this can now be done from the document send button on the documents or compliance documents section of candidate record. {{::documents_blue_bell.png?350|}} \\ \\ {{:compliance_docs_blue_bell.png?350|}} This will open a floating window where you can select which document pack or individual documents you want to send, whether you want to send additional reports or archived documents allowing users to customise what they want to send. Users will also be able to preview all documents and reports before they are sent. {{:send_documents_window.png?600|}} {{:person_pack_notification.png?550|}} Please note this feature requires system administrator set up. \\ \\ ==== Notifications - Ability to send directly from Candidate record ==== The notifications system has been extended to include the ability to send template emails and text messages direct from a candidate record using the new icon on the top of the record. {{::person_notification_bell.png?300|}} This can be used to send registration packs or to advise of outstanding or outdated documentation. This will launch the notification window where users can preview the message, add any attachments and make adjustments as necessary. This feature requires System Administrator set up. ==== Notifications - Ability to select from other 'recipient' email addresses ==== When sending a Notification to the client users are now able to select multiple recipients from a drop down. {{::notification1.png?300|}} {{::notification2.png?450|}} There is an edit box at the top so users can still add manually, however on pressing on the 3 dots this will list all the client email addresses (including the vacancy site email address, if it is applicable). {{:notification3.png?400|}} Checkbox 'select' at the end of each record. Turn on general settings 2020, 2022, 2024 to switch on the additional views. If you want to make some question TEXT or CHOICES searchable on this view then they should be ticked in the set up of the questionnaire to be Included in Key Word Search. Text, Single and Multiple questions are suitable. Questions with choices of Yes/No are not suitable. There is also a new function that can be customised to include agency specific information, or graded questions. please contact IQX Support if you would like assistance in setting up the function and trigger. The first time you set this up you will need to run the system admin tools found in database diagnostics - tools. These should be run again after adding new keywords. {{:iq1577_admin_tools.png?550|}} \\ \\ ==== Person Selector - Filter by Consultant ==== New User Layout setting ‘Person Selector Filter by Consultant’ has been added. When activated this gives a drop down list of Consultants when on the Person Selector, defaulting to the logged in User. Useful for Consultants who work with only their own data. Note this replaces the General Setting Switchable Fields 290 so that the filter can be turned on per consultant rather than for the Agency as a whole. If you had this set for the Agency you need to set up for all relevant Users.\\ \\ ==== Compliance Document Dynamic Stamping ==== Users with access to compliance documents can now have an image of their signature linked to their User record, which can then be used, alongside the verification date of the documents, to stamp the documents. General Setting group of settings 1810 Hide Compliance and Document Pack Sending System needs to be set to N. If users are to be able to upload their own signature via the File menu then general setting group of settings 3290 Allow users to add own document signature need to be set to Y. To upload a signature for a user in png or jpeg format, open their user record and choose Add on the top of the record. You can then browse to locate the jpeg or png file you wish to upload. The image can be cropped. To replace the file select View Signature, say yes to the message and browse to the file you want to upload. \\ \\ ==== Option on Word Document to save to Compliance Documents ==== This ability to save to documents will always be available, save to Compliance will only be available if General Setting group of Settings number 1810 is set to N and the user has the role Can Maintain Compliance Documents and compliance documents view isn’t hidden. \\ \\ ==== Compliance score Details - Floating View ==== New setting has been added for ‘Show Alternative Compliance Score View’ (Layout - 3004). When set to Y when pressing on the Score Details of a Person record the Score is a floating page meaning users can work on the Person record whilst continuing to view the score details. \\ \\ ==== Compliance Domains - greater warning and protection against deleting a domain ==== Additional warnings have been added when deleting a Compliance Domain to reduce the risk of one being deleted in error. It is only possible to delete Compliance Domains if you have Full Maintenance Rights. \\ \\ ==== Streamlined sending Doc Packs using notifications ==== Improvements have been made to send document packs so that more than one report can be added to the pack. The report selected on the main screen of the pack set up window will be treated like a cover sheet and attached at the front of the pack, reports added on the reports view will be treated as an appendix and attached to the end of the pack with the documents relating to the pack. Additional packs can be added when sending the documents, these will be added after the initial pack report but can be moved to anywhere in the pack by adjusting the sort order. \\ \\ ==== Document picking up and sending - Packs or Individual ==== In an amendment to the original document pack sending system users will be able to send packs, and view them before sending, from a candidate record. This is to ensure visibility of what is being done. This feature will only work if General Settings, group of Layout number 3020 is set to Y. The notification system is used to send the packs so templates will need to be set up for type FILLSHIFTPACK, VACSHORTLISTPACK for clients and PERSONPACK for candidate. Please contact IQX support for assistance with this. It is possible to limit the documents available to just standard documents, just compliance documents or both compliance and standard documents with general setting group of settings 3080. In addition to this individual users can be given the right to access all documents as an over ride to the general setting. The user layout setting ‘Can see all documents on Send Doc view.’ will allow users to see all document types which is useful for when access to more documents is required for auditor purposes. \\ \\ ==== Parse CV - Creates a Salutation by default ==== If General Setting, group of Terminology number 720 is set to Salutation when a user is parsing a CV in the New Person Wizard the salutation field will now be automatically populated on the first page of the wizard. If the General Setting is set to anything else other than Salutation that field will not populate when parsing the CV allowing the user to set it to another name the candidate may be known by. If the field is left blank then forename will be added as the salutation on the record. \\ \\ ==== Role to hide the sales consultant filter on the client contact view ==== New role has been added so Sales Consultants can be set to see all Client Contacts with any Sales Consultant attached instead of only seeing their own. This is turned on on a User by User basis. You must be a Sales Consultant for this to show. This is a layout setting called Default to All on Company Sales Consultant. Activating this will show All in the Sales Consultant drop down on Client Contacts view. The default is for the field to show own by default.
