==== Personalise the Side Bar of IQX Records ====
Users with the Modify Own Screen Layout right can now reorder the tabs on the left hand side of a record so you can put the views that are most relevant to you to the top of the list. In the Modify Screen view there is a new Ordering button which opens a form that allows you set the sort order for the different views, the lower the number the higher the view will appear on the side bar. Views that have been re-ordered show in red font.

You can now easily access all active placements in a specific date range on the selector without having to search, simply by clicking the new Active button on the placement selector.

To improve the process of sending out Placement information there is now a **Notify** button on placements so you can go straight to sending Confirmation emails, based on templates, with attachments to the client and candidate.\\ \\

When a candidate accepts a role for the first time, in light of the HMRC requirement for all agencies to send key information, this can be automated in the Notify Template.\\ \\
The templates will need to be set up by your Agency with your System Administrator and the Clients will need the key information documents created.\\ \\
==== Temp Desk Expiry Date View Enhancements ====
Filter on Expiry Date View
For those agencies who have dedicated compliance consultants it is now possible to toggle between person consultant and compliance consultant to quickly identify your candidates for working on.
If expiry date questions apply to only one department, you can toggle off being able to see these to streamline the information consultants see on the expiry dates view.

==== Status Change history table ====
To enable agencies to be able to track status changes a new table has been created to record changes in status of candidates, companies, company sales and vacancies so you can report not only on how many records have a particular state in a date range but how many have been changed to that state in the date range.

It will now be possible to mark references so that no more reminders are sent and to cancel them completely if the referee refuses to provide a reference.

==== Maximum placement length ====
It is now possible to set a maximum placement length for temp desk to prevent consultants adding placements that are excessively long.
Turn on in general settings group of temps 1190 (set the value to 1) and then in each individual temp desk set the maximum value for that desk.
If a consultant adds a placement that is for more days than the maximum they will receive the following message:

==== Users can now see who entered availability and when ====
Users can now see who entered availability, unavailability or holiday, and when, by right-clicking on the entry in the diary view. This is particularly useful when candidates are using the portal.
In addition, if AWR notes have been added against unavailability with an AWR action these will also show when right-clicking. Note AWR notes can only be added when adding unavailability through the candidate record Availability view or from the Temps view on the temp desk. \\ \\
==== Special Arrangement has been renamed Special Rates ====
The term Special Arrangement, where a Placement can be linked to specific shifts for different rates, has been renamed Special Rates for greater clarity. The functionality remains the same.

The Add to Note button on the withhold views now shows regardless of your roles. Note the rights in relation to editing the note have not changed, ONLY those with manager role can edit a note. \\ \\

To save time and double-entry a withhold for a candidate can be entered from the History view of their record.

==== Preview any attachments when sending shift confirmation or interview ====
When sending notifications to a candidate or a client e.g. shift confirmation or interview details you can now preview any attachments by double-clicking them.
Note - any changes to the attachment need to be made at source as changes made when opened from the notification will not be saved. \\ \\
==== Postcode search on Temp Desk ====
It is now possible to set up a default mileage distance for the postcode search on Temp Desk, Temps so that you don’t need to enter the miles every time. This requires System Administrator set up.

A new column has been added to the end of the shifts view on the tempdesk to show users the date and time the shift was cancelled. Much like the When Entered column this column can be ordered newest to oldest and oldest to newest.

When sending a document pack from a notification if any required documents are not present you will be given a message advising you what is missing and you will be unable to send until the relevant documents are present. If the document is not required then you will be given the option to proceed or cancel and put the documents in place. \\ \\

Using General Settings 82, you can set which Person States should be treated as Archived.
By default, this field will have a "." in it. Ensure you do not set the same states as current as well. \\ \\

==== New setting to change document types of documents ====
There is a new setting in the user record - layout settings (Can Edit Document Type) that will allow particular users to change a document type once it has been added to the database. This is particularly useful if the user is adding multiple documents at the same time and then wants to amend the type after they have been added. Changes to the document type will be audited. \\ \\
==== Employment Period details are kept in sync with Payroll Details ====
New functionality to ensure that the Accounts View Employment Period details are kept in sync with Payroll Details.
For HMRC reporting a Timesheet is linked to a Period to ensure the correct details can be picked up historically.
However, some General Settings have allowed Agencies to have relaxed rules about Payroll processes and allow changes to Payroll without issuing a P45. This new functionality is to ensure that in such a case, Payroll details and the current, open Employment Period do not get out of sync if only one is edited.
General Settings
If the General Setting 'Restrict Editing of other Payrolls fields' is set to Y there should be no problems. If it is set to N and the Agency wishes to keep this setting then we advise setting Payroll 1150 to Y and Payroll 1160 to 2 so that changes from either side offer to update the other, and Composite Company changes cascade through to Employment Periods.
Payroll 1150 ensures that if an Accounts user changes the details in an Employment Period then they are offered the opportunity to update the same details in Payroll, the record is not attached to a Composite Company.
Payroll 1160 set to 1 ensures that if someone makes changes in Payroll details and there is an Open Employment Period then they are offered the opportunity to update the same details in the Employment Period.
If Payroll 1160 is set to 2 then, in addition, any changes to a composite company can be cascaded down to all Open periods for linked records. \\ \\
==== Mail merges to company contacts ====
When sending mail merges to company contacts you can choose whether to send a single letter/email to a contact if that person exists in multiple companies within a group.
To have this ticked by default set the General Setting, group of settings, 1742, Company Mailer Default to Single Letter to Y.

==== Contact selector to filter by Sales Consultant ====
If you have set up the contact selector to filter by Sales Consultant (General Settings, group of switchable fields number 585) you can now set whether it defaults to all or the logged-in user by setting the User Layout Setting Default to All on Company Sales Consultant. Setting this to Y will be useful for non-sales consultants so they can see all contacts. \\ \\
==== Possible to validate statement and invoice email addresses ====
It is now possible to validate the statement and invoice email addresses to ensure more precise data entry. Turn on in General Settings group of settings number 3260. \\ \\
==== New Function to ensure all email addresses are valid ====
To help with ensuring accurate data is added to the database there is now a new general setting (group of settings no. 3261) which will perform a standard check on the email address and block a user from saving a record with an invalid email address.
The types of issues caught are:

The check can be used where only a standard check is needed, for more complicated check the Validate email address function can be used instead.
Note the accounts email addresses can also be checked on entry and these are covered by general setting but setting 3260.

New option to use Outside Scope of VAT in invoicing. Needs to be set up in Accounts and then the Client set to the new VAT Rate.
- Turn on switch Accounts 451 'Allow Outside VAT'
- Set up the new VAT code in Accounts Setup - having discovered what the code is for your Accounts package.
- The export to your accounts package might need an alteration so send to IQX for checking with what the end code should be.)
- Your Database function, 'Invoice VAT code for Timesheet Line' will need updating so send to IQX.
- Notify your Accounts team that now for any Client needing be set to Outside the Scope of VAT the option will now exist. \\ \\
==== Placement notifications would complete 'Automated' Key Info as required by HMRC ====
In light of the HMRC requirement for all agencies to send out placement information when a candidate accepts a role for the first time and key information when it is the first assignment with that client there is now a Notify button on placements so you can send confirmation templates with attachments to the client and candidate.
The templates can be set up in Database Set Up - Notifications using the type PlacementConfirm. For assistance with setting these up please contact IQX Support. \\ \\
==== Extra Temp Rate fields ====
It is now possible to access Extra Temp Rate fields so that the Fee and Charge Values can be taken from Direct Engagement placements and used in confirmation documentation. Please contact IQX for the merge fields. \\ \\

The Compliance/Person consultant filter will only show if the User Layout Role Show Tempdesk Consultant Lookup and general setting group of settings 2030 Show Person Compliance User is switched on.
Expiry Date Filter default of on or off can be set in the Temp Desk Settings - the user will then have control over whether to show or hide these questions. \\ \\
==== General Settings changes ====
The 3 images for Update, Save & Close and Abandon replace the full word buttons.
Double-clicking will open the Value cell (instead of the Notes cell) for editing as there are more fields set up to take long values.
A new button will open the Notes cell of a line as the double click function has been changed. \\ \\
